Client Onboarding

Before clients can access their dashboard or view shared documents, they must be invited into Blueprint Studio. This process ensures each client has secure, role-based access limited only to the information you choose to share.

Tip: The client onboarding process works just like any other user invitation — the only difference is that clients are given the Client role, which automatically restricts visibility.


Overview

Client onboarding involves four key steps:

Invite the client to the system

Follow the invitation flow to add the client to Blueprint Studio.

Client accepts the invitation and sets up their password

The client confirms their email and creates a secure password to access their dashboard.

Assign the client to one or more projects

Clients only see projects they are explicitly assigned to.

4

Share documents and files you want them to see

Mark documents as visible to the client so they appear in the client's dashboard.

Once these steps are complete, your client can securely log in and access their personalized dashboard.


Inviting a Client

To invite a client into Blueprint Studio:

Go to Settings → Users or open a project and click the Client tab.

Click Invite User.

Enter the client’s name and email address.

Select the Role: Client.

Click Send Invitation.

The client will receive an email with a secure link to join Blueprint Studio.

Tip: Only users with the Admin or Designer role can send invitations.


Client Email Confirmation & Account Setup

When the client receives the invitation:

They click the Join Blueprint Studio link in their email.

They’ll be prompted to confirm their email address.

They set up a secure password for their account.

4

After completion, they’ll be logged in to their Client Dashboard.


Assigning Clients to Projects

Clients only see projects they are explicitly assigned to.

To assign a client to a project:

Go to Projects → Select a Project → Details.

Locate the Client section.

Choose the client from the dropdown or click Add Client to link them.

Click Save.

Once assigned, the client will see this project on their dashboard.

Tip: If a client is assigned to multiple projects, they’ll see all active ones listed on their dashboard upon login.


Sharing Documents with the Client

Clients only see documents and files that are shared with them. By default, all documents are private until you explicitly mark them as Visible to Client.

You can share the following types of documents:

  • Proposals (to review and approve)

  • Invoices (to view and pay)

  • Budgets (to see approved spending summaries)

  • Files & Folders (attachments shared through the project)

To share a document:

Open the document (Proposal, Invoice, Budget, etc.).

Look for the Visibility or Share with Client toggle.

Switch it to On.

Click Save.

The shared document will immediately appear in the client’s dashboard.

Tip: Clients cannot see drafts, internal notes, or unshared files — even within projects assigned to them.


Managing Client Access

To modify or revoke client access:

Go to Settings → Users.

Find the client in the user list.

Click Edit to change their role or assigned projects.

To remove access entirely, click Deactivate User.

Tip: You can re-enable a client’s account at any time if they re-engage on future projects.


Testing Client Access (Impersonate View)

To confirm what a client sees, you can preview their dashboard.

Open a project assigned to the client.

Click Actions → View as Client.

Blueprint Studio will display the client’s view of the project.

Click Return to Designer View when finished.

Tip: This is the easiest way to verify which documents are visible before sending invitations or reminders.


Best Practices

  • Always confirm client email addresses before sending invitations.

  • Assign projects immediately after invitation to avoid “empty” dashboards.

  • Use Share with Client controls carefully to manage visibility.

  • Encourage clients to bookmark the login page for easy access.

  • Regularly review client access lists for inactive users.
