Inviting & Managing Users

Blueprint Studio is an invite-only platform, meaning users must be invited to join your workspace. This ensures that only authorized team members and clients can access your projects.


🚀 Inviting a New User

Blueprint Studio is an invite-only platform, meaning users must be invited to join your workspace. This ensures that only authorized team members and clients can access your projects.


Step 1: Go to the "Users" Section

  1. Click on "Settings" in the main menu.

  2. Select "Users" to open the user list.


Step 2: Invite a New User

  1. Click the "Add User" button in the upper-right corner.

  2. Enter the following details:

    • Email Address – The email where the invitation will be sent.

    • Username – Must be unique, with no spaces or special characters.

    • User Type – Select from Employee, Client, or Vendor.

    • First & Last Name – Helps identify the user in the system.

    • Additional Information (Optional).

  3. Click "Save and Send Invitation".

🚀 The user will receive an email invitation with a link to join Blueprint Studio. Once they accept, they can set up their password and log in.


Step 3: Set Project Permissions

  1. From the User List, click on the username of the newly created user.

  2. Locate the "Projects Visible To " section.

  3. Select the projects you want the user to have access to.

  4. Click the "+" button to assign the project to the user.

Permissions determine what the user can view, edit, or approve within their assigned projects.

👥 User Roles & Permissions

Blueprint Studio supports different user roles, each with specific access:

Role
Can View
Can Edit
Can Approve
Can Comment

Employee

✅ All projects, proposals, budgets

✅ Products, invoices, purchase orders

✅ Approve proposals, budgets

✅ Boards, Items, Proposals, Budgets, Invoices

Client

✅ Their assigned projects

❌ Cannot edit

✅ Approve proposals, invoices

✅ Proposals, Boards visible to them

Vendor

✅ Only relevant purchase orders

❌ Cannot edit

❌ No approvals

✅ Purchase Orders

Each role ensures secure access while keeping sensitive data protected.


🔄 Managing Existing Users

You can update or remove users anytime:

  1. Go to "Settings > Users".

  2. Select the user you want to update.

  3. You can:

    • Change their role

    • Adjust permissions

    • Deactivate or remove their account


❓ Troubleshooting User Invitations

  • User didn't receive an email? ✅ Ask them to check spam/junk folders. ✅ Resend the invitation from the "Manage Users" page.

  • Wrong email address? ✅ Delete the invitation and send a new one.
