Proposals

Proposals allow you to present products, pricing, and project details to clients in a professional, easy-to-approve format. They’re one of the most powerful tools in Blueprint Studio — connecting your items to budgets, invoices, and client payments.

Think of a proposal as your digital presentation — a polished document your client can review, comment on, and approve online.


Creating a Proposal

Create a new proposal

  • Go to Projects → Select a Project → Proposals.

  • Click New Proposal.

  • Give it a name (e.g., “Living Room Proposal”).

  • Choose items to include from the project’s item list.

  • Review the pricing and tax details.

  • Click Save.

The proposal is now created and ready for review.

You can have multiple proposals per project — for example, one per room or phase.


Adding Items to a Proposal

There are two ways to add items:

From the Proposal

Add items directly in a proposal

  • Open the proposal.

  • Click Add Items.

  • Select from your project’s item list.

  • Click Add Selected.

From the Item List

Add items from the project item list

  • Go to Project → Items.

  • Select one or more items.

  • Click Add to Proposal.

  • Choose which proposal to link them to.

Once items are added, you can adjust descriptions, quantities, or prices specifically for this proposal without affecting the base item.

This lets you tailor each proposal to the client without changing your internal cost data.


Editing Proposal Details

Each proposal includes editable fields like:

  • Proposal Name

  • Date Created / Sent

  • Client

  • Tax Code

  • Terms or Notes (e.g., “50% deposit required to start”)

You can edit these anytime by clicking Edit Proposal.


Grouping and Layout Options

Blueprint Studio offers flexible grouping and layout options for your proposal PDF or client view.

Common grouping options include:

  • Group by Room

  • Group by Category

  • No Grouping (flat list)

You can also toggle visibility for:

  • Item images

  • Unit cost / price columns

  • Totals per group

These options are found under the Layout or Settings icon in the proposal view.

You can set default preferences under Settings → Document Settings so all new proposals follow your preferred layout.


Sending a Proposal to a Client

Send the proposal

  • Open the proposal.

  • Click Send to Client.

  • Review the message and recipient details.

  • Click Send Email.

The client will receive an email with a secure link to view and approve the proposal online.

You can include a personalized note in your message, such as a greeting or summary of the proposal’s highlights.


Client Review & Approvals

Clients can view proposals online — no login required (unless you’ve invited them as users). They can:

  • Review item images and descriptions

  • Comment on items (if enabled)

  • Approve the entire proposal with a single click

Once approved:

  • The proposal’s status updates to Approved

  • The approval timestamp and client name are recorded

  • Items are marked as Approved for use in invoices and purchase orders

Clients can’t modify proposal content — only comment or approve. This ensures document integrity.


Revising a Proposal

If a client requests changes, you can create a revision without losing the original.

Create a revision

  • Open the proposal.

  • Click Actions → Duplicate / Revise.

  • Make your changes (e.g., remove or update items).

  • Save and resend.

The original proposal remains archived for reference.

Label revisions clearly (e.g., “Living Room Proposal - Rev 2”) to keep things organized.


Converting a Proposal to an Invoice

Once approved, you can generate an invoice directly from the proposal.

Convert to invoice

  • Open the approved proposal.

  • Click Create Invoice.

  • Review and confirm items, quantities, and taxes.

  • Save — a new invoice will be created and linked to this proposal.

If you collect deposits, Blueprint Studio automatically calculates deposit amounts based on your project’s settings.


Downloading or Printing a Proposal

Download or print

  • Open the proposal.

  • Click Download PDF.

  • Choose your layout (with or without images).

  • The document opens in a new tab — you can print or save it.


Archiving Proposals

To keep your workspace tidy, you can archive old or declined proposals.

Archive a proposal

  • From the Proposals list, select the one to archive.

  • Click ⋯ → Archive.

  • The proposal moves to the archived section for reference.
