Items

In Blueprint Studio, an Item represents a product, material, or service that you specify, sell, or purchase within a project. Each item holds complete details about its specifications, vendor, pricing, and financials — serving as the foundation for Proposals, Invoices, Purchase Orders, and Budgets.


🧭 Accessing Items

Open a Project

Open the project that contains the items you want to view or manage.

Go to the Items tab

Select the Items tab in the project.

Use the grid

View, search, and filter all project items using the items grid.

Create a new item

Click Create New → Item to add a new product or service.

You can also create Bundles, which group multiple items together — see the Bundles page for details.


🪄 Creating and Editing Items

When creating or editing an item, the Item Dialog opens. This form organizes all item details into sections for clarity and efficiency.


🧱 General Information

Defines where the item belongs and how it’s categorized in your project.

Field
Description

Name

The item’s display name (visible to the client).

Category

A system-wide classification, e.g. Furniture, Lighting, Fabric.

Schedule

The schedule (or FF&E list) this item belongs . to. Design fees are commonly placed into a schedule by the same name.

Room

The project room or area (e.g., Living Room, Primary Bath). Used for sorting and grouping data on various reports and documents.

Location

Optional text for a specific placement within the room.

Project

Automatically assigned when created within a project.

Item Kind

Choose Product, Service, or Bundle — affects pricing logic and calculations. Services default to not taxable but can be edited.

Status

Track item progress (e.g., Selected, Ordered, In Warehouse, Delivered).

Status Notes

Add notes such as ETAs or vendor updates.

Changing a project or room updates related lists (Schedules, Budgets, etc.) dynamically.


🏷️ Vendor Information

All vendor and brand-related fields appear under this section.

Vendor

The company you’re purchasing from.

Brand

The product’s brand name (can differ from vendor, but defaults to the selected vendor).

Website

A link to the vendor’s product page.

Code (SKU)

Vendor’s internal code or SKU.

Vendor Document #

Reference to the vendor’s quote, proposal, or sales order. Used later when generating Purchase Orders or searching for information.

You can add new vendors or brands directly from this section using the Add Vendor or Add Brand buttons.


🧾 Descriptions

Three text fields allow you to maintain clear internal and client-facing communication.

Vendor Description

Used internally or on Purchase Orders sent to vendors.

Notes

Internal-only notes for your team (not visible to clients).


🎨 Specifications

Define the item’s design and physical attributes.

Color name or description.

Material

Base material used.

Finish

Surface finish or coating.

Dimensions

Size details (L × W × H, or other format).

Custom Specifications

Add any other specs relevant to your business — for example, “Upholstery,” “Mounting Type,” or “Voltage.” Click Add Custom Specification to define name-value pairs.

Care Instructions

A separate custom section allows you to enter care and maintenance information for each component (e.g., “Vacuum only,” “Dry clean fabric”).


💰 Financials

This section defines pricing, markup, and profitability. Blueprint Studio automatically calculates totals based on your chosen Calculation Strategy.

Calculation Strategy

Retail Price

Optional — vendor’s retail price for reference, Not visible to the client.

Unit Cost

What your company pays per unit.

Markup %

The percentage markup applied to determine your selling price.

Unit Price

The price you charge your client per unit.

Budget Item

Links the item to a specific budget line item.

Taxable

Flag to include/exclude the item from client sales tax.

🧾 Shipping and Tariff

Field
Description

Shipping Cost

What you pay for shipping from the vendor.

Shipping Markup %

Percentage markup added to shipping when charging the client.

Shipping Price

The total shipping amount charged to the client (auto-calculated from cost + markup).

Tariff

Additional charges such as import tariffs or duties, passed through to the client.

💵 Sales Tax

Description

Sales Tax from Client

Tax collected from the client (auto-calculated from project or proposal/invoice tax code).

Sales Tax from Vendor

Tax paid to the vendor for the item’s purchase.

Tax Code

Display-only field showing the applied tax rate and jurisdiction.

If both shipping and tariff are taxable in your jurisdiction, Blueprint Studio includes them automatically in the client’s tax calculation.

💳 Deposits

Field

Deposit %

Percentage of the total price to collect as a deposit on this item.

Commission %

(If enabled) Designer or salesperson commission rate which is transparent to the client and will show on proposals and invoices.


🧮 Calculation Strategies Explained

The Calculation Strategy determines how Blueprint Studio computes pricing relationships:

Cost is derived from price ÷ (1 + markup%).

All totals (price, cost, tax, tariff, and shipping) are recalculated automatically as you enter or change values.

Subtotal Cost

Unit Cost × Quantity.

Subtotal Price

Unit Price × Quantity.

Total

Full client total including shipping, tariff, and sales tax.

Commissions and deposits are included in the total calculations if enabled in company settings.


🧩 Relationship to Bundles

If the item is a component of a Bundle, certain fields are locked automatically:

  • The quantity field becomes read-only and determined by the bundle’s total quantity.

  • The cost is auto-calculated from the component setup.

  • Bundle totals are recalculated whenever components change.

Component quantities are always entered as the quantity required to produce one bundle unit.


📈 Tax & Totals Overview

Blueprint Studio automatically determines the correct tax code based on the hierarchy:

  1. Proposal tax code (if the item is on a proposal).

  2. Project tax code (if assigned).

  3. Client tax code (if available).

  4. Company default tax code.

Sales tax is then applied to the client’s total, including shipping and tariffs when applicable.


🖼️ Images

Images bring your items to life — they appear on proposals, invoices, schedules and the client dashboard. Blueprint Studio offers several ways to add or capture item images depending on your workflow.

📸 1. Upload from Your Computer

  • From the Item List, click the camera icon next to the item to upload an image from your local computer.

  • You can also upload images directly from Proposal or Invoice detail views.

  • Supported formats: .jpg, .png, .webp, and .gif.

🗂️ 2. Add Images from the Item Detail Page

  1. Click into the Item Detail page.

  2. Scroll to the Images section.

  3. Click Add Image and select a file from your computer.

  4. The image will upload and automatically attach to the item record.

✂️ 3. Add a Screenshot

  • From the Item Detail page, click Add Screenshot.

  • When the dialog opens, paste your screenshot (Ctrl+V / Cmd+V) directly into the canvas.

  • Adjust or crop as needed, then click Save. This is ideal for quickly capturing visuals from vendor websites or PDFs.

🌐 4. Use the Web Clipper

The Blueprint Studio Web Clipper can automatically capture product images from vendor websites. When you save an item using the clipper, its image is included automatically — no manual upload needed.

💡 You can add multiple images to an item. The first image becomes the primary thumbnail shown in proposals and grids, while additional images remain accessible in the detail view.


📎Attachments

Each item can also have file attachments, allowing you to store vendor documents, quotes, or reference materials directly with the item.

Adding Attachments

  1. Open the Item Detail page.

  2. Scroll to the Attachments section.

  3. Click Add File and choose one or more files from your computer.

  4. The files will be uploaded and stored securely within Blueprint Studio.

Common uses include:

  • Vendor spec sheets or tear sheets

  • Purchase quotes or order confirmations

  • Installation guides or PDFs

  • Inspiration images or vendor correspondence

💡 Attachments stay linked to the item across proposals, invoices, and purchase orders — keeping all related documents in one place.

🧭 Best Practices

  • Always link items to the correct Schedule, Room, and Budget Item for reporting accuracy.

  • Keep Vendor Document # updated — it’s used when generating Purchase Orders.

  • Use Custom Specs to capture specialized attributes relevant to your business.

  • Review the Calculation Strategy to ensure markups and prices stay consistent.

  • For composite or grouped products, use Bundles.

  • Use the Tax Breakdown button in the dialog footer to review how tax is being calculated.
